Return Material Authorization Policy

The following terms and conditions apply to all sales

All Returns Are Subject to CaptiveAire Systems, Inc. Policies

Return privileges may be subject to pre-approval and can be initiated via the user menu on Captiveaire’s online store: store.captiveaire.com. CaptiveAire Systems, Inc. reserves the right to decline specific return requests based on our return policy. Be sure to ask the Sales Representative about specific return conditions before purchasing any item.

Final Sale of Certain Products

The following products are final sale items and are NOT returnable to CaptiveAire Systems, Inc. for refund or exchange for any reason:

  • Hoods and/ or accessories of hoods (i.e. lights, backsplash, wrappers, etc. with the exception of standard filters, which are returnable)
  • Curbs
  • Grease or Supply duct
  • MPU (modular package units)
  • PCU (pollution control units)
  • UDS (utility distribution system)
  • Direct Fired, Electric Heater, or IBT (indirect bent tube gas heaters) Heaters
  • Industrial Units
  • Paragon HVAC Units
  • HVLS Fans
  • Any non-stocked specialty or custom item

Packaging of Returns

All returns must be 100% complete, contain ALL original boxes, products, components and packing material and have a pre- authorized RMA number issued by CaptiveAire Systems, Inc. Incomplete returns, used products, or products not in new condition cannot be returned for credit. CaptiveAire Systems, Inc. will refuse to credit any items that do not meet the aforementioned requirements.

Nonrefundable Charges

Labor and installation services are nonrefundable. Parcel shipping charges will be covered by CaptiveAire Systems, Inc. The Customer is responsible for all return shipping charges when freight arrangements are required; therefore, all freight returns must be shipped prepaid. CaptiveAire Systems, Inc. recommends that the Customer return products via a trackable service with appropriate insurance. CaptiveAire Systems, Inc. is not responsible for lost or damaged parcels.

Return Privileges for Non-Defective Items

All non-defective returns authorized by CaptiveAire Systems, Inc. will be subject to a minimum 15% restocking fee and must be authorized for return within 30 days from date of receipt. No refunds will be issued after such 30 day period. Authorization may be obtained by contacting the sales representative. The Customer will be issued a Return Material Authorization (RMA) number, which is valid for 30 days. Failure to return a product within such 30 day authorization period will be deemed to be an acceptance of the product.
